• information relating to participation in our training programmes;
• information you provide when registering for or using our online learning environment;

We only request information that is relevant to the purpose for which we collect it.

To provide training, coaching, consultancy and related services, and to manage participation in our programmes.

Managing our online learning environment

Where you participate in a programme through our Moodle learning environment, we process the information required to provide access to the relevant learning materials and services.

We may process personal data where this is necessary to comply with applicable legal or regulatory obligations.

4. What are the legal grounds for processing?

Depending on the purpose, we process personal data on one or more of the following legal grounds under the General Data Protection Regulation (GDPR):

• compliance with a legal obligation;
• our legitimate interests, for example in managing our business relationships and improving our services, where these interests do not override your rights and freedoms; or

5. Who has access to your personal data?

We may use specialised service providers to operate our website, learning environment and business processes. Where these providers process personal data on our behalf, we take appropriate steps to ensure that your data is handled securely and in accordance with applicable privacy legislation.

Our website is operated using Odoo.

Our online learning environment uses Moodle LMS and is hosted by OpenEdu, a provider based in the Netherlands.

We also use services provided by Google, including Google Analytics and Google Search Console, and Google Tag Manager for managing website tags.

We use Microsoft Clarity as part of our technology environment, but our current website check does not show an active Clarity tracking request. We therefore do not currently use Clarity to collect visitor data through the public website.

We do not sell your personal data to third parties.

6. International transfers

Some of the service providers we use may process personal data outside the European Economic Area (EEA).

Where personal data is transferred outside the EEA, we take appropriate measures to ensure that the transfer complies with the GDPR. This may include relying on an adequacy decision adopted by the European Commission or using appropriate safeguards such as Standard Contractual Clauses.

7. How long do we keep personal data?

We do not keep personal data longer than necessary for the purposes for which it was collected, unless we are legally required to retain it for a longer period.

The applicable retention period depends on the type of information and the purpose for which it is processed.

For example:

• information relating to enquiries is generally retained for as long as necessary to handle the enquiry and any resulting relationship;
• information relating to contracts and financial administration is retained for the period required by applicable legal and tax obligations;
• information relating to participation in training programmes is retained for as long as necessary to administer the programme and fulfil our contractual or legal obligations; and
• website and cookie data are retained for the periods described in our cookie overview below.

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration, disclosure or destruction.

These measures include access controls, secure connections, appropriate authentication and the use of reputable service providers. Access to personal data is limited to people and organisations that need the information for legitimate business purposes.

We regularly review our systems and processes to maintain an appropriate level of security.
